Accounts Assistant
Part-time
£15 per hour, 16 hours per week (2 days)

Overview
We are seeking a detail-oriented and proactive Accounts Assistant to join our dynamic finance team. Previous accounting experience is preferred but full training is available. This part time position is based in our office in Thirsk for 2 days a week, where you will work alongside our Accountant and the rest of the Rat Race team.

Main Job Tasks and Responsibilities

Processing supplier and customer invoices

Keeping financial records up to date, checking statements, allocating payments

Collaborate with team members to ensure the accuracy and integrity of financial data

Preparing ad hoc reports, reconciliations and other office duties when required.

Production Crew
Seasonal/temporary

We are looking for energetic and reliable Production Crew to join our team for the season and contribute to the seamless execution of our large scale events in the UK. In this role, you will be responsible for driving event equipment to and from venues, assembling event structures such as gazeboes, start and finish lines, managing event villages and car parks, and collaborating with other crew members to ensure an excellent experience for our customer. This position is ideal for individuals who are hands-on, proactive, and passionate about events.
Key Responsibilities

Transportation and Logistics:
​​

Drive vehicles, including vans, to transport event equipment to and from venues.

Load and unload event materials safely and efficiently.
-
Maintain accurate records of transported equipment and vehicle logs.
​
Warehouse Organization:
-
Store equipment in the warehouse in an orderly and accessible manner.
-
Conduct pre-event inventory checks to ensure all items are accounted for and in good condition.
-
Maintain cleanliness and organisation of the warehouse to ensure ease of access and operational efficiency.
​
Event Setup and Dismantling:
​
- Build and dismantle event structures, including start and finish lines, temporarily shelters, crowd control barriers and other fencings, installing of temporary ground protection mats etc.

Assemble branding materials, signage, and other required installations.
-
Install and maintain operation of electrical equipment, including generators, lights, blowers etc.
-
Ensure all structures are securely assembled and meet safety standards.
On-Site Operations:

Set up and manage event car parks, directing traffic and ensuring smooth flow for participants and spectators.
-
Provide support to event participants and attendees, addressing inquiries and assisting where needed.
-
Coordinate with other crew members to ensure the timely completion of tasks.
-
Collaborate with other event crew, contractors, and stakeholders to execute the event plan effectively.
-
Communicate any on-site challenges or needs to supervisors promptly.
-
Be a flexible team player willing to assist in various roles as required.

Safety and Maintenance:

Adhere to health and safety protocols, ensuring a safe environment for staff and attendees.

Perform routine checks and maintenance on vehicles and equipment used for the event.

Report any damages or operational issues to supervisors.
Required Qualifications
Experience:

Prior experience in event logistics, production, or operations is advantageous but not essential.

Experience driving vans or larger vehicles is preferred.

Skills:

Strong organisational and problem-solving skills.

Ability to work well in a team and independently in dynamic environments.

Licenses and Certifications:

A valid full driver’s license essential and non-negotiable.

Forklift or equipment handling certifications are a bonus.
Physical Requirements:

You must be physically fit, able to lift heavy equipment, and work extended hours, including early mornings, evenings, and weekends.

Comfortable working outdoors in varying weather conditions and own appropriate kit to do so.

We seek continued operational excellence in the delivery of our events, expeditions and trips both abroad and in the UK, with a strong focus on trip planning, leading and wider resourcing. There will be major opportunities for travel in this role and it is expected therefore that UK and overseas travel will form a major backbone of the activity alongside desk-based planning.

Role Objectives
​

To adopt a designated portfolio of identified trips and events and provide full project management of these activities. This will involve actively engaging in pre-trip planning and organisation of Rat Race’s international and UK based activity, including Bucket List, Test Pilot, Exped and Wild Weekend project management activity.
-
On occasion, the role will see project management of existing events where a template for the delivery of such events already exists. In some occasions, the role will involve creating a project from scratch and seeing it through from concept inception to full delivery.
-
To adopt, implement and manage an ongoing commitment to excellence across safety standards associated with all event and travel operations, including the implementation of working systems and authoring and preparation of associated documentation.
-
To liaise with the Marketing team and other internal team members on operational details involved in trips and projects so they may assume that information into their promotional strategy for international activity.
-
To author and work to budgets and provide excellence both in project financial planning and execution.
-
To be custodian of existing sub-contractor relationships involved in your own projects and to develop new relationships; and then to engage with sub-contractors as required on designated event and travel activity.
-
To travel to locations within the UK and abroad to lead or support activity.

The Role
​
1.) Management
-
To co-ordinate and project manage all activity related to specified event and travel projects from inception through to project delivery and post-project actions.
-
To physically manage all aspects of designated trips on the ground in-country.
-
To manage some aspects of client administration and to provide a ‘go-to’ function for other RR team members and 3rd parties in understanding trip content across your designated projects.
-
To take on and adopt project management responsibility for certain limited and specified administrational components of the day-to-day administrational work of the operational team; such administrational responsibilities to be specifically briefed to you year-on-year.
2.) Pre and post trip planning and safety systems
-
To engage on all aspects of pre-trip planning and to liaise with colleagues internally and externally on elements of route design, safety and contingency planning and other generic factors.
-
To manage all sub-contractor relationship relevant to the scope of work.
-
To champion and adopt an ongoing commitment and compliance with safety systems and practices; and to research and maintain best practice knowledge across this field ongoing.
-
To ensure compliance with local, global and UK-specific best practice and legislation in respect of safety mgmt. of all activities .
-
To carry out and complete post-event reporting and debriefing as required.
3.) At-Event and In-Country
-
To actively and physically lead trips where required.
-
To act as trip leader, project manager or designated 2 i/c (or other support function) and to understand and carry out full responsibilities within those designated roles.

To maintain and carry out activity that promotes and champions commitment to safety on all trips.
-
To maintain RR brand and operational consistency when embarked on trips and events.
-
To liaise with trip suppliers and contractors in respect of their roles in delivering their contracted activities.
-
To liaise with media and other marketing operatives in respect of their roles within on-the-ground activities.
4.) Financial
-
To demonstrate total ownership of the budget process on designated events: To budget efficiently and to oversee all specified elements of budget spend in relation to designated activity, over the course of the year.

To supply costs data to feed into Company-wide forecasting and other financial planning and reporting – contributing to the Company achieving financial stability and growth.

Qualifications
​

Previous experience in outdoor adventures or sporting events is essential. The ideal candidate will be comfortable planning and leading small groups activities or they will have experience working in mass participation events such as running, cycling, triathlon etc.

Excellent organisational skills, high attention to detail and good time management skills.

Ability to negotiate and communicate clearly with 3rd party suppliers and contractors.
-
To be able to react dynamically, under pressure to make clear and efficient decisions on the ground.
-
Ability to problem solve, recognise potential issues, analyse them and identify solutions in advance and quickly on the ground if needed.

Ability to interact effectively with participants, staff, temporary staff and members of the public.

Ability to establish, maintain and nurture relationships with key stake holders for all events.

Ability to deal with challenging queries and situations.

Ability to manage sensitive and confidential information effectively.

A keen interest in travelling the world and the ability to work remotely is essential.

Must hold a valid driving license and passport.
